1. Who we are and what this covers
Snapline is a job-site photo documentation app for iPhone and iPad, made by Voice2Jobs Inc. (“we”, “us”). This policy explains what Snapline collects, why, who else touches it, and how to get it back or get rid of it.
It covers the Snapline apps, the Snapline backend, and snapline.org. It does not cover Voice2Jobs, which is a separate product with its own privacy policy.
2. Two kinds of data, two different roles
Snapline holds two different kinds of information and our responsibilities differ for each.
- Your account and your company's use of Snapline. Here we are the controller: we decide what is collected and why, and this policy governs it.
- The job-site content you put into Snapline — the photographs, the notes, your customers' names and site addresses. Here your company is the controller and we are a processor acting on its instructions. We do not decide what you photograph or whose address you type in, and we do not use that content for our own purposes. If your company needs this in writing, see our Data Processing Agreement.
If you are a member of a company's Snapline organisation, the account holder can see the content you capture into it, and can remove your access. Privacy requests about that company's content should go to the account holder first.
3. What we collect

Snapline asks for camera, photo library, microphone and (optionally) location permission. Each is requested at the moment it is needed and each can be refused or withdrawn in iOS Settings; refusing one disables that feature and nothing else.
4. Photo location
Snapline does not track you. There is no background location collection of any kind, and the app does not request the permission that would allow it.
Location is read in exactly two situations, and each is a single reading at the moment you act:
- When you tap Use current location while setting up a project, to pin that project to where you are standing.
- When you take a photograph, only if your organisation has turned photo location on, so the photo can be matched to the right property later. It is off unless your organisation's owner enables it.
5. AI processing
Snapline's filing is done by AI models. When you capture a photo or record a voice note, that content is sent to an AI provider to produce a caption, a suggested trade and phase, a transcript, and a numeric representation used for search.
We use OpenAI, Anthropic and Google as AI providers, and which one handles a given request can vary. All of them process the content on our instructions and return a result; none of them is given the content for their own purposes.
AI output is a suggestion. It can be wrong. Snapline shows you what it decided, sends anything it is unsure about to a review queue rather than filing it silently, and lets you change any of it. Do not rely on an AI-generated caption, trade, phase or measurement as a statement of fact without checking it.
6. We do not train on your data
We do not use your photographs, voice notes, transcripts or any other content to train AI models, our own or anybody else's. Our AI providers are engaged under terms that do not permit them to train on data submitted through their APIs.
7. How we use it
We use what we collect to: run the app and store your work; file photos and make them searchable; generate the reports and share links you ask for; deliver notifications you turned on; apply your plan's limits; keep the service secure and diagnose faults; comply with law; and communicate with you about the service. That is the complete list.
We do not sell personal information. We do not share it for advertising. We do not use your job-site content to build any product other than yours.
8. Processors and third parties
Snapline runs on other people's infrastructure. Each of the following processes data on our instructions, under contract, for the stated purpose only.

We may also disclose information where the law requires it, to protect someone's safety or our rights, or as part of a merger or acquisition — in which case this policy continues to apply until you are told otherwise.
9. Links you choose to share
A share link is a page on the public internet. Anyone who has the link can open the report you shared, without signing in — that is what makes it useful for sending to a customer.
Two consequences worth being clear about: a link that is forwarded works for whoever receives it, and a link can be indexed if it is posted somewhere public. You choose which photos go into a share link, and you can revoke it at any time, after which the page stops working.
10. Deletion and retention
Snapline treats destruction of your work as a serious act, so deletion has two stages.
- Deleting is reversible first. When you delete a photo, project or note, it becomes invisible in the app but is retained, and can be restored. This is deliberate: job-site photographs are evidence, and an accidental swipe should not be the end of them.
- Then it is destroyed on a schedule. Deleted items are permanently erased — including the stored image files — once they have been in the deleted state longer than your organisation's retention window, which is 365 days unless your organisation changes it. There is no other route to permanent deletion in the system.
Account deletion is the exception. When an account holder deletes the organisation, the retention window does not apply: live records are destroyed as well, not just the deleted ones. See Delete your account.
Data we keep independently of the above: audit records of who deleted what, retained for accountability; and records we are legally required to keep, such as tax records of a subscription.
11. Security
Data is encrypted in transit and at rest. Access to systems holding customer content is limited to staff who need it and is authenticated individually. Destructive operations are audited. Each organisation's data is separated at the query level, not merely by convention: reads are scoped to the organisation of the person making them.
No system is perfect. If you find a weakness, our disclosure policy tells you how to report it and what we commit to in return.
12. Where your data is processed
Voice2Jobs Inc. is in Canada. Our providers process and store data in the United States and other countries. Where personal data is transferred out of the EEA or the UK, the transfer is made under the European Commission's Standard Contractual Clauses or another lawful mechanism.
13. Children
Snapline is a tool for working trades and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, write to us and we will delete it.
14. GDPR (EEA and UK)
If you are in the European Economic Area or the United Kingdom, you have the right to access your personal data, correct it, erase it, restrict or object to its processing, receive it in a portable format, and complain to your supervisory authority.
Our legal bases are: performance of a contract for running the service you signed up for; legitimate interests for security, fraud prevention and improving the app; consent for optional things like push notifications and photo location, which you can withdraw at any time; and legal obligation where a law requires us to keep something.
15. PIPEDA (Canada)
For users in Canada we comply with the Personal Information Protection and Electronic Documents Act. We seek meaningful consent before collecting, using or disclosing personal information; we collect only what the identified purpose needs; we protect it with appropriate safeguards; and you may ask for access to your information and challenge its accuracy.
16. California (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information we collect and why, to delete it, to correct it, to opt out of its sale or sharing, to limit the use of sensitive personal information, and not to be discriminated against for exercising any of these.
We do not sell or share personal information as those terms are defined by the CCPA/CPRA, and we do not use it for cross-context behavioural advertising. We honour Global Privacy Control signals.
Categories collected in the last twelve months: identifiers (name, email, company); commercial information (subscription status); audio and visual information (photographs, voice notes); geolocation (only under §4); and internet or network activity (diagnostics and usage). These are disclosed only to the processors named in §8 and only for the purposes described there.
17. Exercising your rights
You can do most of this yourself in the app: export your data, correct anything you have entered, and delete your account. For anything else, write to privacy@voice2jobs.com. We will verify that the request comes from you — usually by asking you to write from the address on the account — and answer within the period the applicable law allows.
An authorised agent may act for you if you give them written permission.
18. Changes to this policy
If we change this policy we will change the date at the top, and for material changes we will tell you in the app or by email before the change takes effect. Continuing to use Snapline after that means you accept the updated policy.
